Fredericksburg Regional Chamber of Commerce Events Coordinator
SUMMARY
The Events Coordinator manage all Chamber events and provides member support as needed.
OVERVIEW OF REGULAR RESPONSIBILITIES
Manages annual, quarterly, and monthly Chamber events
Event tasks include and are not limited to:
- Creating and maintaining the event’s budget (approved by supervisor)
- Select venue; secure contract (signed by supervisor)
- Contract includes details such as liquor license; understanding of taxes and fees; solid agreement on final head count numbers and dates; understanding of on-site logistics, such as a/v, tables/chairs, room set up, food/drink timing, on-site assistance, other.
- Secure sponsors; complete sponsor forms for payment and commission purposes
- When applicable, work closely with program or other committee to ensure success
- Working with the Marketing Team, market the event:
- Naming the event when applicable; outreach strategy; member direct contacts
- Internal: event set up on database (“ChamberMaster”), fees set properly; placement on internal Google calendar; communication to staff
- Secure volunteers to assist with the event; communicate detailed requirements in writing and in person
- Staff assignments; communicate requirements in writing and in person
Events Coordinator will partner with program managers or another staff at times to lead logistics for an event.
Will support other various Chamber meetings and events as needed.
GENERAL
- Pitch in as needed
- Respond to visitors, Chamber phone calls and over-the-phone registrations
- Attend and work various member-focused events
- Attend and actively participate in staff meetings and retreats
- Other duties as assigned by supervisor and/or the President/CEO
NECESSARY SKILLS & DEPARTMENT KNOWLEDGE
- 2+ Years of Experience Preferred
- 4-year College Degree Preferred
- The ability to be self-directed, but also work collaboratively with other staff members
- Excellent written and oral communications skills
- Strong “People” skills
- Strong organizational skills – ability to create and maintain records
- Understanding and support of the business community – to include advocacy and business trends
- Strong working knowledge of Microsoft Office products required
- Ability to quickly understand and use Chamber’s membership database system (ChamberMaster)
- Ability to manage multiple deadlines in an organized, consistent manner
